Plans start in pencil.
Okay in ink.

Hold Venue does what its name says: it holds your venue for a plan until the plan is real. Every plan goes through three steps: pencil it in, get everyone on board, put it in ink. Five minutes on this page and you know it all.

1Pencil or ink?

In the events world, tentative dates go down in pencil and confirmed ones in ink. Hold Venue puts that on screen:

Rehearsal · 14:00

Pencil

Drafts, holds, requests. Dashed and grey. Nobody's committed, and a hold drops off on its own when it expires.

Show · 20:00

Ink

Confirmed. Solid and in colour. A space can never have two inked bookings at the same time.

Blank page

Available. It's the only thing the booking link and the TV screen show.

The rule is simple: anything in colour is confirmed. You can pencil several plans into the same slot (first hold, second hold); as soon as one is inked, the clashing ones drop off automatically.

2Getting started

  1. On the sign-in page, tap “Create an account” and enter your email. You'll get a link from noreply@ongunlabs.com; tap it to open your account and set a password (at least 8 characters, with upper and lower case, a number and a symbol). After that, your email and password are all you need.
  2. Enter your name. Your short links are based on it: Deniz Kaya → DK1034.
  3. Set up your venue: name, booking link, type (theatre, studio, pitch…) and your first space. Whoever creates the venue is its admin.
  4. Add your spaces (halls, rooms, pitches) from the Dashboard and invite your team.

Tip · Your venue type sets the ink colour and the wording. A theatre gets “Hall/Rehearsal”, a football pitch gets “Pitch/Match”.

3Adding to the calendar

Day view shows a single day hour by hour, nice and wide; if you have several spaces, each gets its own column. On a phone, the calendar opens in this view. Week puts seven days side by side (on a phone the headings run vertically). Month gives you the big picture in a small card; tap Expand to enlarge it. In day and week view, tap an empty slot to start a new booking at that time.

Give each booking a colour: say, rehearsals blue, shows red, rentals green. A glance at the week or month tells you what's coming, and the same colours appear on the TV screen.

When you add a booking, the switch at the top decides everything:

  • Pencil · hold: you pick a “hold until” time. If it isn't confirmed by then, it drops off on its own.
  • Ink · confirmed: it's confirmed straight away. If the slot is taken, Hold Venue tells you before saving and suggests a free time (“Start at 16:00 instead?”).

To confirm a pencilled booking, tap Put it in ink in the day panel. A fountain pen appears and writes “Okay in ink!”.

4Get everyone on board

If you need to know who's coming (a rehearsal, a match, a meeting, a trip), tap Get everyone on board on the booking:

  1. Invite by email, one person per line (Deniz Kaya <deniz@example.com>). Mark the key people as Required.
  2. Or drop the shareable invite link in your group chat. Anyone who opens it can reply without an account.
  3. Everyone answers I'm in / Maybe / Can't make it. You see it live in the table: “18 / 25 coming · 5 maybe · 2 can't”.
  4. Once the rule is met, put it in ink. Everyone coming gets an “Okay in ink” email with a calendar file (.ics) attached.

You choose when a plan can go into ink:

  • I decide — You see the replies and put it in ink whenever you like.
  • Everyone must agree — You can put it in ink once every participant says “I'm in”.
  • Required people must agree — You can put it in ink once everyone you marked as required says “I'm in”.

Tip · You don't need all 30 people, just the right ones. Mark the director, the leads and the lighting tech as “Required” and leave volunteers optional.

5Booking link and requests

Share the Booking link from the Screens tab (e.g. holdvenue.com/DK1034) with your customers: “Pick a day here.” They only see which days are open or taken; who booked, prices and notes never show.

Every request lands on the calendar in pencil, so the same day can't go to two people. Approve it from the Requests tab and the customer gets an email.

6TV / lobby screen

Open the short link in Display mode once on the lobby TV or a second screen. The page rotates on its own and refreshes from the database every minute; nobody needs to touch it.

  • Slides: Today, This week, Weekly hours, Monthly calendar, Announcement. Pick the ones you want.
  • Themes: Paper (light), Night (dark), Ink (colour). You choose how long each slide stays up and which spaces appear.
  • With “Show titles” off, the screen only says “Booked / On hold”.

Tip · After opening the link in the TV's browser, tap “Full screen” in the bottom right. Hold Venue keeps the screen from going to sleep.

7Team and roles

Everyone sees and changes only what their role allows:

  • Admin — Runs everything: venue settings, admins, the join link.
  • Assistant admin — Adds and removes people, assigns roles, manages spaces and screens.
  • Scheduler — Writes and edits the calendar, approves requests.
  • Member — Sees the calendar, without contact details or notes.

Staff request access with the join link from the Dashboard; an admin or assistant admin approves them and assigns a role. You can also invite people by email: they're added to the team when they first sign in.

FAQ

Will I lose my data if the design changes?
No. Every booking, team and invite lives in the database; no business data is kept in your browser.
I forgot my password. What now?
Tap “Forgot password” on the sign-in page. We'll email you a magic link; use it to sign in and set a new password.
Where do the emails come from?
noreply@ongunlabs.com. If one hasn't arrived, check your spam folder and add the address to your contacts.
Do invited people need an account?
No. They just type their name on the invite link and reply.
Can I undo ink?
Yes: cancel the booking, or edit it and move it back to pencil. Invitees get a cancellation email.
